When you submit a rental application, we collect the following personal information:

  • Full name, date of birth, email address, and phone number
  • Current and previous residential addresses
  • Employment details including employer name, employment type, and income
  • Reference contact details (name, relationship, phone, email)
  • Pet ownership information
  • Copies of government-issued identification documents
  • Recent payslips
  • Proposed tenancy details (move-in date, lease term, rent offered)
  • Any additional information you voluntarily provide

We collect this information solely for the purpose of assessing your suitability as a tenant for the property at 10 Kennedy Road, Austinmer, New South Wales. We will not use your information for any other purpose without your consent.

4. How We Store and Protect Your Information

Your personal information is stored in the following systems:

  • Application database: Hosted on secure cloud infrastructure managed by Manus (Singapore). Access is restricted to the property owner only.
  • Google Sheets: A summary of your application is stored in a private Google Spreadsheet accessible only to Brett Baker and authorised persons.
  • File storage (S3): Uploaded documents (ID, payslips) are stored in a secure Amazon S3 bucket. Files are stored with randomised keys and are not publicly enumerable.

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure.

Your information is shared only with Brett Baker and Seanne Pulbrook for the purpose of assessing your application. We do not sell, rent, or disclose your personal information to any third party for marketing or other unrelated purposes.

6. How Long We Retain Your Information

We retain your personal information for a maximum of 12 months from the date of submission, or until the property is leased and all applicants have been notified of the outcome, whichever comes first. After this period, your information will be deleted from all systems.

If your application is successful, we may retain relevant information for the duration of the tenancy and for a period of up to 7 years thereafter, as required by NSW tenancy legislation.

7. Your Rights Under the Australian Privacy Act 1988

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate or out-of-date information
  • Request deletion of your personal information (see Section 8)
